How we look after the information you share with us.

Who we are

Newbould Business Solutions is operated by Sophie Newbould as a sole trader. Sophie Newbould is the controller of the personal information described here. Contact: info@newbouldbusinesssolutions.com · Business Support Line 020 4572 7034.

What we collect

When you send an enquiry we collect your name, contact details, business details, a description of your requirement, how you heard about us, any referrer or NBS contact you name, and any documents you choose to upload.

For the Discover Your Hidden Wealth enquiry, we also collect your job title or position, business sector, optional business size and website, selected growth requirements and any goals you provide. If you name a referring Associate or provide a promotional code, we keep that attribution in the secure enquiry record and internal administrator alert email; it is not displayed publicly or automatically sent to the referrer.

For growth-budget promotional registrations, we collect your full name, company, email and mobile number so NBS can respond to your expressed interest.

For team applications and business partnership enquiries, we also collect the professional background, role interests, business sector, general client information, online profiles and goals you provide. Please do not include confidential client names or sensitive personal information.

When you request a specific service through one of our service pages, we collect your name, contact and business details, the service you are interested in and the answers you give to that service's questions. If you arrive through a link shared by one of our business partners, we also record that partner's reference so we know who introduced you. We do not share your request with that partner without your permission.

How we use it

To review your enquiry, contact you about it, decide the most suitable next step and keep a record of our dealings. Our lawful bases are taking steps at your request before entering into a contract, and our legitimate interest in responding to and managing business enquiries.

We use service request information to assess your requirement, identify suitable support and keep a record of how your request is handled. We use a referring partner's reference to recognise the introduction and manage our arrangements with that partner, which is in our legitimate interest. The partner's reference appears in our internal Front Desk and in the alert email sent to NBS administrators; it is not seen by the partner, and our website does not send the partner your request, your contact details or any updates about it. If we ever need to share anything with that partner, we will ask your permission first.

We use your selected growth requirements to classify and assess your enquiry and contact you about appropriate next steps. If you separately opt in to marketing emails, we record that permission and rely on your consent for those communications. Marketing permission is optional, is not permission to share your enquiry, and can be withdrawn at any time by emailing info@newbouldbusinesssolutions.com. Submitting an enquiry does not automatically enrol you in marketing.

If you arrive through an NBS campaign link, we record which link it was alongside your enquiry, so we can understand which of our activities are useful.

We use application and partnership information to assess suitability, arrange discussions and manage any agreed onboarding. Only authorised NBS administrators can access these records. A privacy acknowledgement is not an agreement to work with NBS, permission to share client information or consent to marketing.

Sharing with others

PSTORA Pro and PSTORA Exchange are propositions of separate PSTORA Limited. Enquiries made here remain with NBS; we do not automatically pass them to PSTORA Limited. Any authorised referral is limited to relevant information, and a separate PSTORA engagement requires its own terms and privacy notice.

We do not share your enquiry with external providers unless you have given separate permission on the form, and even then only relevant information, after an internal decision that a referral is appropriate. Where regulated legal advice is needed we may suggest an independent SRA-authorised law firm, but we will not pass on your details without your agreement. We use trusted service providers to host our website, database and email.

Security and documents

Enquiries and uploaded documents are stored in private, access-controlled storage. Only authorised NBS staff can view them. Documents are never attached to notification emails.

Business prospects we contact

NBS researches UK businesses that may benefit from our services. We collect business contact details from public sources, such as company websites, Companies House and professional networking profiles, or from contacts you have shared with us. This includes the business name, sector and location, and the name, role, work email address and telephone number of relevant decision-makers. We record where each detail came from and when we checked it.

We rely on our legitimate interest in introducing relevant NBS services to businesses. Before contacting anyone, we assess whether the approach is relevant and proportionate. We only send marketing emails to sole traders and partnerships if they have given prior consent.

Every message we send identifies Sophie Newbould trading as Newbould Business Solutions and explains how to opt out. If you ask us to stop, we will add your details to a suppression list so that you are not contacted again by any NBS campaign. You can object at any time by replying to our email or writing to info@newbouldbusinesssolutions.com.

We do not sell prospect data or share it with other businesses.

How long we keep it

We keep enquiry records for as long as needed to deal with your enquiry and any resulting work, and for a reasonable period afterwards for record-keeping and legal purposes.

Prospect details, including phone and event leads, are deleted 24 months after our last contact or check if no client relationship follows. Client records are kept for six years after the engagement ends. If you opt out, we keep the minimum detail needed on our suppression list so that we respect your request. Campaign-link visit counts contain no personal data.

Your rights

You can ask to access, correct or delete your information, object to or restrict its use, or withdraw permission to share it, by emailing info@newbouldbusinesssolutions.com. You can also complain to the Information Commissioner's Office (ico.org.uk).
